Important U.S. Department of Education (ED) deadline dates are approaching that may need your action

Important U.S. Department of Education (ED) deadline dates are approaching that may need your action. With the soon arriving end of the Federal fiscal year, a number of dates of which schools need to be aware are critical and require schools to take the necessary action applicable to their operations.  Some of these dates are applicable to closing out the 2012-2013 award year, while others will impact 2014-2015 funding.  Significant deadlines are highlighted in the following information.

September 21, 2013 – This is the deadline by which corrections to a SAR or ISIR must be submitted for the 2012-2013 award year.  This date will likely affect few students and schools currently, but may impact some.

September 28, 2013 – This is the deadline by which all applicable valid 2012-2013 SARs or ISIRs must be received by the institution.  Notwithstanding, the valid SAR/ISIR must have been submitted not later than the student’s last date of attendance in the award year (unless the student meets the conditions for a late disbursement).

September 28, 2013 – All verification documents for the 2012-2013 award year, along with a valid output document (e.g., SAR or ISIR) must be received by the school not later than the earlier of 120 days after the student’s last date of enrollment in the 2012-2013 award year, or September 28, 2013.

September 30, 2013 – By this date, at least one acceptable disbursement record must be submitted via COD using the Student Aid Internet Gateway (SAIG) for each 2012-2013 Federal Pell Grant recipient.  At least one disbursement record for each 2012-2013 Iraq & Afghanistan Service Grant (IASG) recipient must also be submitted via COD using the COD Web site at www.cod.ed.gov.  Whether it is a Pell Grant disbursement record or an IASG disbursement record, the deadline is the earlier of September 30, 2013 or within 15 days of the date the disbursement was made, if payment was made on or after April 1, 2013.  (If the disbursement occurred prior to April 1, 2013, the record must have been submitted within 30 days of the disbursement.)  Additionally, schools should ensure that they have reviewed all students to make certain all students were appropriately paid their eligibility by September 30, 2013.  When reviewing, keep in mind any students who may have re-enrolled after a drop, students who are returning from a Leave of Absence, and/or have completed verification, etc.

September 30, 2013 – October 2, 2013 – The G5 financial system will be down during these dates.  All actual disbursements with a disbursement date within the time frame of these dates must be received by COD no later than 8:00 A.M. (ET) on Monday, September 30, 2013, and subsequently accepted by COD, in order to generate the appropriate funding level increase prior to the G5 shutdown.  Disbursements submitted by the deadline but not subsequently accepted, as well as disbursements submitted after the deadline, and disbursements with a disbursement date after October 2, 2013 will be funded once G5 re-opens.

October 1, 2013 – For those schools participating in the Federal Title IV Campus-Based programs, the Fiscal Operations Report for 2012-2013 and Application to Participate for 2014-2015 (FISAP) is due by 11:59 p.m. (ET) on October 1, 2013.
